We assume that if you are going to take a tour with Paraguay Birding & Nature you have read and understood everything we mention below:
What the price includes
On custom tours and in general, on all our tours, we will agree and clarify the services included and not included through electronic mails and these will serve as an agreement between the parties. Normally at the bottom of each reference tour and our scheduled tour, we detail the services included and not included, only as a reference. Usually the price for tours includes all travel as noted in the itinerary, lodging in hotels/lodges or their equivalent, unless otherwise indicated in double or triple rooms, all meals unless otherwise noted, a drink (non-alcoholic) with meals, tour materials and the services of the leader(s).
The Single Occupancy Supplement listed for each tour provides a single room throughout the tour unless otherwise noted. Certain small lodges will not provide single rooms if they are heavily booked; in some cases hotels or lodges may not have single rooms at all and these are listed in the “Notes” section of their respective tour itinerary. Unless a single room is specifically requested on your reservation form, all registrants will be assigned a suitable roommate. If no roommate is available, a single room will be provided and you will be charged the Single Occupancy Supplement.
In recent years, we have received many requests for individual rooms. Unfortunately, some hotels are not willing to guarantee more than a few single rooms until quite close to the departure date of the tour, when they can be sure they have rooms to spare. Several of the hotels and lodges that we could use during the tour do not have enough rooms to accommodate all or part of the group in single rooms; a requirement that has occurred on several recent tours. Participants should bear in mind that, although we will do everything possible to ensure sufficient individual rooms for those who request it, this is not always possible, and you may be asked to share. Of course you will be notified as far in advance as possible, and in case we have problems with the single rooms already during the tour, a reimbursement of the supplement for single room that you have already paid in proportion to the number of shared nights will be made.
For group trips of scheduled dates, keep in mind that if you travel alone and want to share a room, we will try to link you with another participant that also wants to share. However, if there is no other person on the tour who wants to share, we will have to charge the Single Occupancy Supplement on the sites that give us this facility.
The following items are not included in the tour price: passports, visas, entrance taxes and departure taxes, immunizations, excess baggage charges, optional excursions, telephone calls, flight transportation in general, laundry, room service, snacks, or anything of a purely personal nature, or anything else that is not expressly indicated as included.
As noted above, tips (drivers, hotel staff, porters and restaurants) are not included on this tour. It also does not include the tip to your leader/s or guide. If, therefore, you feel that you have been given an excellent service, it is totally appropriate to give them a tip.
Flights in general are not included, flight reservations and costs are the responsibility of the clients. Before making flight reservations, confirm with Paraguay Birding and Nature the effective realization of the tour. In case of change of dates or cancellation due to force majeure of the tour by Paraguay Birding and Nature, there will be no cost reimbursements associated with air tickets from Paraguay Birding and Nature.
Restriction on tour participation
Restrictions on participation are a matter of common sense, and we impose no absolute restrictions. If you have a health problem or any physical limitation that may hamper or restrict your full involvement in any aspect of the tour, or about which we should be aware for your safety (for example, walking difficulties, diabetes, asthma, angina, and so on), please advise us in detail and in writing at the time of your reservation. We will provide any information that you or your doctor may need to judge your capacity to participate fully in the tour and we may request a physician’s letter indicating that you are healthy enough to participate on the tour. We do not normally program strenuous physical exercise, but if it cannot be avoided, the fact is made explicit in the tour description and in the General Information sheets for each tour. Participants should be able to complete gentle walks of up to half a day, ride in any seat in tour vehicles, and meet the simple schedule of the tour. We reserve the right to send home persons unable or unwilling to conduct themselves in a manner compatible with the satisfactory operation of the tour.
Please note that we do not allow the collecting of plants or animals during any tour.
Our tours are carefully planned, but sometimes circumstances that are beyond our control (weather, political and social events, roads and bridges in poor condition due to heavy rains, hotels, lodgings or nature reserves that are not available for various reasons etc.) could force us to make significant changes after a tour has been published on the Paraguay Birding & Nature website or even already after a tour has started.
Whenever we have knowledge of a change, we will let you know in the shortest time possible. Paraguay Birding & Nature will always make the greatest effort to comply with the program or look for the best alternatives in case of need for changes. If such changes, for example, in the itinerary or leadership, are necessary before a tour is confirmed to be performed (90 days prior to the departure of the tour, unless otherwise specified), the participants will be informed and may withdraw from the tour without penalty.
If significant changes occur after a tour has been confirmed but before it has left, it will be Paraguay Birding & Nature's decision of whether or not we can run the tour successfully. Participants can withdraw without penalty only if they have a written agreement with Paraguay Birding & Nature. If Paraguay Birding & Nature decides that the tour cannot be carried out successfully, the price of the tour will be reimbursed.
In case we are already doing the tour and we should modify our tour for the reasons already mentioned or evaluating the security of the group being in the field according to new circumstances and conditions that may arise, Paraguay Birding and Nature will have the freedom to carry out the changes that are the most convenient, protecting the safety of customers and people in general who participate in the tour and modifying the program in the best way trying to meet the objectives of the tour without there being refunds or anything to claim by the participant.
Past or prospective bird lists and General Information sheets will be sent to each registrant upon receipt of a deposit. Final tour information, meeting instructions, a participant list, and any additional materials will be emailed about three weeks before tour departure. A final tour report will be emailed to all participants after the tour.
Having the correct documentation in place before your trip is essential and visa requirements for U.S. citizens (and citizens of other countries) vary notably by country. Paraguay Birding & Nature will provide details about obligations known to us at the time, but regulations can change with little or no notice. It is the participant’s sole responsibility for checking foreign entry requirements and when necessary, obtaining a visa from the appropriate embassy or consulate.
Paraguay Birding & Nature encourages purchasing travel insurance. Travel insurance offers welcome protection to those for whom a health-related trip cancellation is a concern. Travel Insurance also usually protects you if you fall ill while on the tour (for example, it may get you back home). Please note that some travel insurance companies require insurance to be purchased within a certain amount of time after initial deposit(s) are sent to the travel company, though more are moving away from this and now suggest purchasing it around when you pay the final balance for the tour. Please contact your preferred travel insurance company, for specific information on coverage.
Tour registrants are advised to be cautious about purchasing services such as flights from home or personal pre or post-tour activities prior to Paraguay Birding & Nature formal confirmation of their tour. If Paraguay Birding & Nature has to cancel or alter a tour before formal tour confirmation, registrants will be responsible for any penalties associated with the cancellation of such services. If the early purchase of such services is important, registrants are advised to discuss their purchase with Paraguay Birding & Nature.
Most Paraguay Birding & Nature tours are confirmed 90 days prior to their departure date. In rare cases, for example Christmastime tours, an earlier confirmation date may be set. All set non-standard confirmation dates are noted in the Tour Information and mailed to all tour registrants at the time of their booking.
Reservations, Deposits, and Payments
Reservations for tours require a deposit of 25% of the tour cost per person. In tour cases that have a maximum capacity of people, reservations with deposits are accepted in order of their receipt.
Payments must be made in US dollars by credit card (MasterCard or Visa) or bank transfer to the account indicated. 90 days before your trip begins, we should receive 50% of the total cost (your initial deposit goes to this, so you only pay another 25% of the total to secure your place). The remaining 50% may be paid 10 days before the trip begins. A copy of the receipt will be forwarded by email.
If you have already made the 25% advance to make your reservation and cancel your trip 90 days before the tour departure, we will refund 15% (you will have a penalty of 10%). If we receive your cancellation notice with less than 90 days remaining, all deposits and payments are non-refundable.
Paraguay Birding & Nature could allow (depending on whether the tour is exclusive, does not apply for group departures) a one-time penalty-free transfer of a tour to Paraguay Birding & Nature tour as long as the cancellation and transfer takes place prior to invoking (normally 90 days before departure but it varies), and as long as the tour to which the deposit is beginning begins within 6 months of the start date of the original tour. If the tour registrant cancels the subsequent tour, the original deposit will not be refunded or transferred.
No refunds are given for skipped meals or other on-tour activities.
In case of cancellation by Paraguay Birding & Nature, all deposits for the tour or tour extension will be refunded. Participants should note that the cancellation of a tours, pre-tour or post-tour extension, does not affect their rights and obligations with respect to the main portion of the same tour.
Please note as well that Paraguay Birding & Nature reserves the right to cancel all or part of a tour at any time if we feel that the health and/or safety of our participants is at risk.
Many people and companies over whom Paraguay Birding & Nature has no direct control are involved in the planning and provision of your tour. Paraguay Birding & Nature has taken all reasonable steps to ensure that the suppliers of all services provided are of an acceptable standard. Paraguay Birding & Nature accepts responsibility for the standard of services provided to you. We will also accept responsibility for any proven negligent acts or omissions of our staff to you or any member of your party.
However, liability will only be accepted if you can prove what was caused by the negligence of Paraguay Birding & Nature and its staff. No liability can be accepted for negligent acts or omissions of air or sea carriers, or providers of hotel accommodation, whose responsibilities are governed by international conventions such as the Warsaw Convention as amended by the Hague Protocol 1955, the 1961 Berne Convention, the 1962 Paris Convention and the 1974 Athens Convention.
We cannot accept any liability for robberies made by criminals, loss, damage, or expense, resulting from war, threat of war, terrorist activities, riots, civil unrest, natural and nuclear disasters, fire or adverse weather conditions, closure of airports, industrial disputes (including air traffic control disputes), technical or maintenance problems with transport, cancellation or changes of schedule by airlines, financial failure of airlines, or for any unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, or due to an event which, even with all due care, we could not foresee or forestall. Any additional expenses incurred as a result of such events are the responsibility of the participant.
Assumption of Risk and Liability Release Agreement
While Paraguay Birding & Nature spares no effort in its attempt to provide its clients and staff with a safe travel environment, we frequently travel to remote locations where medical care may be nonexistent or minimal, where the terrain may be rugged and wild, and where local governments may respond very differently than our own. We expect our clients to take reasonable and prudent care for their own safety and to recognize that Paraguay Birding & Nature cannot guarantee anyone’s personal safety. For these reasons, we are willing to provide you with the tour opportunity you have requested, only if you accept your personal responsibilities and you release us from liability for your safety within the limits of the law by entering into the Assumption Of Risk and Liability Release Agreement, that you will be sent at the time you register for a tour.
- Applicable for group tours: Rates are based upon group rates; if the tour does not have sufficient registration (a minimum of 4 or 6 paying participants, depending on the tour) a small party supplement will have to be charged.
- Quotations in general are subject to unforeseen increases in costs related to travel and as a result may have to be adjusted.
- Lastly, we may be forced to change or alter the itinerary at short or no notice due to unforeseen circumstances (weather: rainfall, closure of routes and others); please be aware that we will try to adhere as close to the original program as possible. In case we have to make these changes for the safety of the group and the staff, there will be no refund or additional issues to claim to Paraguay Birding & Nature.
- These tours involve very little arduous walking. We will however spend large amounts of time seated while traversing the vast plains of Paraguay. If you have any physical limitations or medical conditions of any kind, please let us know in advance of the tour.
- We will be birding in wildlife in some remote areas well away from modern medical facilities. Paraguay Birding & Nature encourages purchasing travel insurance.
- The hotels fluctuate from very good standards to more basic ones in remote locations.
- Transport is by small coach or minibus and 4x4 vehicles where required. Road conditions fluctuate from good to poor. Some areas are prone to flooding which may interfere with our trip, although we have minimized this risk by undertaking the tours during the driest part of the season.
- Between November and March we expect the weather to be sunny and hot in most areas. Broad hats, sunscreen and sunglasses will certainly be required. The rainy season used to be from the end of November to May, but due to climate change, the forecasts are unpredictable and variable, as in the whole world. We recommend being equipped for rain (layers and rain boots, in addition to hermetic bags for your electronic equipment). A light jacket is always recommended.
- Please let us know if you have any illness or physical limitation (which we should take into account), allergy, food limitation or require special diets so that we are prepared to serve you in the best way.
Arrival & Departure Details
These tours do not include ANY airfares. Normally the tour will depart from the capital city of Asuncion on day 2 (depending on the tour); you are expected to be in the country before the tour begins (usually day 1 of the program). Further meeting details in this regard will be forwarded to you in due course. If you have not taken one of our extensions, depending on the time of your flight, the tour will conclude in the Silvio Pettirossi International Airport (ASU) on the last day mentioned in your program. If you wish to arrive early and / or depart late and would like assistance in this regard, kindly contact us and we will coordinate it with pleasure.
We have excellent tour extensions, depending on where you start or finish the tour. Please consult.
Asunción is the main port of entry for international flights in Paraguay. We have the capacity to advise you on the best route according to your preferences, but your local travel agent will best be able to book these flights for you. IMPORTANT for scheduled group departures: please DO NOT book your international flights until you have consulted the Tour Operator Office for confirmation on the status of the tour.
On our custom and scheduled tours, most costs are included but a credit card for emergencies and some US dollars, which can be changed at airports or larger hotels, are useful for alcoholic drinks, snacks, tips and others. Check the services included in the tour you have hired.
Most lodges and hotels provide towels, but a small lodge might not have them, so a fast-drying towel is handy.
If you need special food, we recommend that you let us know as early as possible (vegetarians, celiacs, vegans, diabetics, etc.), in Paraguay the beef and chicken is very good and is always included on the menu, other meals or especial vegetarian food can be included, but in some places it is necessary to notify in advance.
We would appreciate you letting us know in advance in case of being allergic or having a health or mobility issue that we should take into account. Depending on the tour you choose, you could have long walks on uneven terrains. We will gladly give you all the detailed information on the terrain according to the tour you take. If it is a tailor made tour, we adapt it completely to your abilities. We recommend you bring all your medication from your country as you may not get some special medications in Paraguay. If you have any questions at all, please contact us.
